United Academy Specialist


United Academy Administrator -- key member of team responsible for all aspects of United Academy (UA) employee support and the International Powered Access Federation (IPAF) program administration (e.g. sales, trainers, evaluators and branch management) 

Essential Duties:

  • Assist with day to day and long term operations of the Safety Training Department.
  • Maintain location and trainer metadata in United Academy. Complete adjustments in UA for location changes, private class scheduling, trainer terminations, etc.
  • Investigate returned wallet cards, update user addresses in the system as needed.
  • Support the Customer Care Center in matching customer leads with trainers/sales associates using same day response or better.
  • Audit trainer and certified evaluator records for completeness, accuracy and timeliness to include tests, PE forms and Ives records. Advise Director, UA when progress or performance of a trainer is not meeting minimum program requirements.
  • Create UA products in UA and PeopleSoft, draft product descriptions.
  • Support Division Safety Directors, Safety Training Team and branches in PeopleSoft and through customized reporting in Excel (e.g. pivot tables and v-lookup).
  • Draft communications to the field concerning various topics relating to safety training and UA.
  • Work on special projects and participate on multi-department project teams.
  • Participate in the review of and user acceptance testing for new/upgraded courses and platform functionality.
  • Obtain a detailed working knowledge of UA 2.0 from an admin, manager and instructor perspective to support launch activities, testing and post go-live operations. (e.g. data cleanup, training, support, report creation)

IPAF Administration - Serve as SPOC for UR IPAF Satellite Training Center daily administration od program. Utilize understanding of IPAF and UA systems for data and document entry.

  • Manage and administer IPAF training supplies and course documentation.
  • Enter, track and manage sessions from course registration through completion in both UA and IPAFOnline.
  • Monitor satellite training centers' prompt purchase of training credits/seats.
  • Verify eLearning course completion, ensure timely paperwork and photo submittal from satellite training center Evaluators and audit course paperwork.
  • File and retain course and student documentation in organized manner and upload into UA and IPAFOnline for issuance of UA Card and IPAF Powered Access License (PAL) Card.
  • Review and verify IPAF invoices and submit for payment.
  • Work with Customer Care to invoice customers for training conducted.
  • Participate in remote and on-site audits of paperwork conducted by IPAF.


Education: Bachelor's Degree Preferred or equivalent experience

Experience: Five years of experience in customer care, occupational health and safety, loss control and/or training environment 

Other Skills Required:

  • Advanced computer skills (Pivot tables, v-lookup, analysis and reporting)
  • Demonstrated quantitative skills
  • Strong communication skills (written and verbal)
  • Multi-tasking skills for simultaneous phone and email or WebEx meetings
